What is the meaning of a site inspection: July Duty On-Site Review and Rectification Log
Aug 01,2025
To enhance safety, quality, and operational discipline during night shifts, our company has implemented a structured system where duty cadres conduct detailed on-site inspections. These inspections cover critical areas such as workshop equipment, personnel safety, potential hazards, product and personal protective, product quality, and overall area cleanliness and standardization.
For the month of July, the following rules and requirements for the execution and tracking of rectification orders based on these inspections have been strictly enforced:
- Issue Identification & Notification: Make on-site adjustments as appropriate. Duty cadres are required to compile identified issues into a formal rectification order by the day. This order must highlight specific, actionable problems and be delivered to the responsible department.
- Confirmation & Action Plan: The manager of the responsible department must personally confirm the acknowledged issues. They are then obligated to develop and document a detailed corrective action plan within the rectification report, specifying clear measures for resolution, the expected time for closure, and the method for verifying the effectiveness of the implemented solution.
- Timely Closure: The standard timeframe for resolving any single issue must not exceed seven work days.
- Systemic Correction: Beyond addressing the specific cited problem, the responsible department must proactively investigate and rectify any similar or related issues within their purview to prevent recurrence.
- Tracking & Verification: The duty cadre who issued the rectification order is responsible for tracking its progress until full closure. They must also verify and confirm the effectiveness of the corrective actions taken by filling out the relevant sections on the tracking form.
- Oversight & Accountability: The General Manager's Office assumes overall responsibility for monitoring the closure status and effectiveness of all rectification orders. This includes conducting random spot-checks and performing a weekly summary assessment to evaluate compliance and performance, which will be linked to departmental KPI assessment.
- Documentation & Transparency: All relevant documents, including inspection reports, rectification orders, and closure verification forms, are to be shared centrally for transparency and reference.

This rigorous process ensures that findings from night shift inspections are promptly addressed, effectively resolved, and used to drive continuous improvement across all operational departments, thereby reinforcing our unwavering commitment to workplace safety, product quality, and operational excellence.
